The Department of Medical Assistance Services (DMAS) will review your AIMS registration request
to confirm you are affiliated with the Provider. If you are a representative firm (an independent firm
representing a Provider), we will also need to verify your affiliation with the Provider. The review may
take 2-3 business days to complete. You will be notified by email if your request is approved or denied.
Please note that your appeal must be filed with DMAS by the deadline date. If your deadline is approaching and your AIMS registration request has not been approved, make sure your appeal is filed by the deadline through mail (600 E. Broad Street, Attn: Appeals Division, Richmond, VA 23219), email (appeals@dmas.virginia.gov), or fax (804) 452-5454. Your appeal request is not deemed filed until it is received by the DMAS Appeals Division.

Provider Registration
Online appeal filing will be required for providers in 2026.
Important Information: There are two types of appeals: provider and client.
Provider appeals are for:
- Services the provider already rendered; or
- Provider enrollment denials and terminations.
Examples of provider appeals are - claim denials, audits, and service authorization requests, but only when the services were already rendered.
An appeal of any other adverse action would be a client appeal. To file a client appeal, you need to complete a Client Registration Request . The patient may need to appoint you as an authorized representative. You can find client appeal information here.
Am I a Provider?
If you or your employer provides medical services in exchange for payment from Medicaid, you are a provider.
Examples of providers are hospitals, physicians, physical therapists, medical transport companies, home healthcare companies, and others.
- An NPI is required for registration.
- Enter your company/entity name.
- Answer “Yes” to “Are you a provider who received an adverse action?”
Am I a Provider Representative Firm?
A provider representative firm is a third-party company hired by a provider. Provider representative firms take part in the appeal process on the provider’s behalf. They typically manage service authorization, claims, and appeals for the providers they represent.
Examples of provider representative firms are revenue cycle management companies, medical billing companies, medical solutions companies, law firms, and others.
- No NPI is needed when registering as a provider representative firm.
- Once authorized, you can file appeals on behalf of multiple providers.
- Enter your company/entity name.
- Answer “No” to “Are you a provider who received an adverse action?”
